Booking and quotes

How do I get a quote?

Send dispatch the itinerary: flight number, pickup and drop-off addresses in full, passenger count, luggage count, preferred pickup method, and any intermediate stops. The quote is built against that specific itinerary rather than a generic distance calculation, which is why the detail matters. Requests are answered around the clock, and for anything unusual dispatch will come back with a question rather than guessing.

How far in advance should I book?

For a routine midday transfer, the same morning is usually workable. For a pre-dawn departure, an unsociable-hour arrival, a Sprinter, or anything during a busy period, book several days ahead. Availability rather than price is the constraint, quotes are fixed and do not rise closer to the date, so there is no financial reason to wait, only a risk of the vehicle you wanted being committed elsewhere.

Is there surge pricing?

No. Quotes are fixed at booking and do not move with demand, weather, or how many flights land at once. That is the structural difference from app-based pricing, and it is the reason a corporate finance team can budget against a ground transportation figure. If a material change to the itinerary affects the fare, it is confirmed with you before it applies.

What are your rates?

Hourly floors are published rather than held back until an inquiry: sedan from $120 per hour, SUV $150, S-Class $230 and Sprinter $240, with a three-hour minimum on hourly hire. Point-to-point airport transfers are quoted for the journey rather than by the hour. Full detail, including the waiting policy, is on the rates page.

Why is there a three-hour minimum on hourly hire?

Because an hourly booking commits a specific vehicle and chauffeur to you for a block of time, during which they are not available for other work, and the vehicle also has to travel to you and away again. For most itineraries that genuinely suit hourly hire, a day of meetings, a multi-stop corridor trip, an event evening, three hours is close to what the day needs anyway. For a single transfer, point-to-point pricing is cheaper and is the right structure.

Should I book hourly or point-to-point?

Point-to-point for a single pickup and drop. Hourly once the day has roughly three or more movements, because at that point one vehicle waiting between commitments costs less than several vehicles each traveling to you, and an overrunning meeting moves the schedule rather than requiring a re-booking. Describe the whole day to dispatch and you will get a straight answer on which is cheaper for your specific itinerary.

What is the cancellation policy?

Cancellation terms are confirmed with your quote and vary by trip type, because a Sprinter committed for a group movement and a sedan booked for a short transfer are not the same commitment. Contact dispatch as early as possible if plans change; early notice is almost always workable and late notice is where terms start to matter.

Can I change a booking after it is confirmed?

Yes. Timing changes, address changes and vehicle changes are all handled by dispatch, and for flight-tracked bookings a delay is handled automatically without you doing anything. Changes that materially alter the itinerary, a different vehicle class, additional stops, a substantially longer journey, may adjust the quote, and that is confirmed with you before it applies rather than appearing afterwards.

Airports and flight tracking

Which airport is the primary focus?

BWI Marshall. The service is built around BWI transfers, which is where most of the volume and most of the operational knowledge sits. DCA and IAD are covered as corridor destinations and are longer, more expensive transfers accordingly, from a Baltimore address, IAD in particular is commonly ninety minutes or more at peak.

Do you serve all BWI concourses?

Yes. Planning accounts for concourses A through E, including the international arrivals facility at Concourse E where customs processing makes the timing genuinely unpredictable. In practice the concourse matters less than you might think for pickup, because baggage claim is on the lower level and arriving passengers converge there regardless of where they landed. What matters is whether the arrival is domestic or international.

How does flight tracking work?

Give a flight number at booking and the arrival is followed rather than assumed. A delay re-times the chauffeur automatically and no waiting charges accrue for it; an early arrival moves them up so they are in position when you emerge. What tracking cannot see is how long you will take at baggage claim or customs, which is why the last few minutes are still coordinated between you and the chauffeur directly.

Which flight number should I give for a connecting itinerary?

The final inbound segment, not the origin. If you are flying from the west coast via Chicago, the Chicago-to-BWI flight is what determines when you appear at the curb, and that is what should be tracked.

Can I book meet-and-greet at BWI?

Yes. The chauffeur waits inside the baggage claim area with a name board and walks you to the vehicle, which is parked in the hourly garage. It costs more than curbside because it involves parking and waiting time. It is worth it for families, for clients you are hosting, for elderly travelers, for international arrivals and for anyone visiting BWI for the first time.

Why isn't the car already waiting at the curb?

Because the arrivals curb at BWI is actively managed and vehicles cannot park and wait there. Chauffeurs stage in the cell-phone lot or a nearby holding area and make a short direct run once you signal you are at or near the door. That is why the message when you have your bags matters, it is the trigger for the vehicle to move, not a courtesy.

What happens if my flight is diverted or cancelled?

A diversion or cancellation is handled by a person rather than an automated process. Dispatch will contact you to work out whether you are continuing on a later flight, arriving at a different airport, or making other arrangements, and the vehicle is redirected accordingly. This is the specific scenario that round-the-clock human dispatch exists for, and it is worth more on that one night than the tracking is across a year of normal trips.

Can you collect from the BWI Rail Station?

Yes, and it is a common request, but the station is a separate facility roughly a couple of miles from the terminal rather than part of it. State explicitly which one you mean at booking, and if it is the station, give the train number so the arrival can be tracked in the same way a flight would be.

What vehicles are available?

How do I know which vehicle I need?

Tell dispatch the bag count rather than the passenger count. The boot is the constraint in almost every case: three adults with hand luggage fit a sedan comfortably, while two adults with four large cases do not. Anything unusual in shape, golf clubs, skis, instruments, medical or production equipment, should be named specifically rather than counted as a bag.

What is the difference between the sedan and the S-Class?

Capacity is identical; both take up to three passengers with two large cases. The S-Class is a presentation choice rather than a space one, and it earns the difference when the person being collected is a client, a board member or a senior candidate and the vehicle is part of the impression your company is making. For routine travel it is unnecessary and dispatch will say so.

Do you provide child seats?

Yes, fitted before the vehicle leaves, provided the age and weight of each child is given at booking. The correct seat type depends on both, so a general request for a seat is not sufficient. Bear in mind that pushchairs and children's equipment consume real boot space and frequently push a family booking up a vehicle class.

Can you carry a wheelchair or mobility scooter?

A folding manual wheelchair fits most SUV cargo areas alongside a reduced number of cases. A powered wheelchair or a mobility scooter generally requires a Sprinter and sometimes advance arrangement depending on the specific equipment. Describe the item by type and approximate size at booking so the right vehicle is assigned rather than discovered to be wrong at the curb.

Is one Sprinter better than two cars for a group?

For five or more passengers, almost always. It is usually cheaper once both vehicles would be committed for the same journey, it removes a second set of timing to coordinate, and it eliminates the possibility of half the party arriving while the other half sits behind an incident. It also means the group arrives together, which matters for cruise embarkation and for teams heading into a meeting.

Destinations and routes

Do you cover Annapolis, Columbia and Towson?

Yes. Those are core service points for airport transfers and hourly reservations, along with downtown Baltimore, the Inner Harbor, the Johns Hopkins campus, the cruise terminal and the BWI Rail Station. Journey times vary considerably, Columbia is twenty to thirty minutes from BWI, while Annapolis and Towson are typically forty to fifty.

Can you go to the Baltimore Cruise Terminal?

Yes. Transfers to South Locust Point can be arranged from BWI, hotels, rail stations and local addresses. Cruise transfers need more luggage capacity than the passenger count suggests, and embarkation timing should be built around your assigned boarding window with margin on top, because a ship sails and does not wait.

How long does BWI to Washington DC take?

Around an hour off-peak to a central Washington address, and ninety minutes to two hours during weekday peaks. Suburban Maryland destinations such as Bethesda or Silver Spring are often quicker than the city center because they are reached without entering the core. Any single fixed number quoted for this route should be treated with suspicion.

Do you serve Northern Virginia?

Yes, Arlington, Alexandria, Tysons, Reston and the wider area are all served, though the journey from BWI is longer than to the District because it involves crossing the river. Give the specific destination at booking so the estimate reflects the actual trip rather than a generic Washington figure.

Can one booking include multiple stops?

Yes. Give dispatch all the stops at the time of quoting rather than adding them on the day, because they affect both the routing and the price. For itineraries with three or more stops, hourly hire is generally cheaper than a chain of point-to-point bookings and considerably less fragile.

How much waiting time is included?

Enough to cover normal baggage claim and, for international arrivals, customs processing. The full waiting policy is set out on the rates page. The principle is that time lost to a delayed flight is not charged, because tracking meant the chauffeur was not sitting there for it. Time lost for other reasons is treated differently, and the terms are stated up front rather than discovered afterwards.

How will I recognize the chauffeur?

For meet-and-greet, they are inside baggage claim with a name board. For curbside, you will have the vehicle description and the chauffeur's contact details before you land, and the exact door is confirmed by message once you are on the ground. For an FBO pickup they are in the lobby. In all cases the arrangement is agreed before you travel rather than worked out on arrival.

What if I need to change the pickup time on the day?

Call dispatch. Timing changes on the day are routine and are handled directly. For flight-tracked bookings, a delay needs no action from you at all. For a change of plan on the ground, a meeting that ran long, an earlier finish, a decision to stop somewhere, the earlier dispatch knows, the more easily it is accommodated.

How early should I leave for a departing flight?

Ninety minutes before a domestic departure at the terminal, and two to three hours for international. Those figures are about check-in and security throughput and do not shrink because you live nearby. The drive is added on top and varies by origin and time of day. Dispatch checks conditions before departure and will recommend an earlier pickup when there is reason to.

Is gratuity included?

Gratuity handling is confirmed with your quote so there is no ambiguity at the end of the trip. Asking about it at booking rather than at the curb is the sensible approach with any operator, since practice varies across the industry and the moment of arrival is a poor time to be working it out.

Corporate, groups and accounts

Do you offer corporate accounts?

Yes. An account consolidates billing rather than generating individual expense claims, holds traveler preferences so each booking is shorter to make, and gives one dispatch contact for everyone booking on your behalf. It is worth setting up once ground transportation becomes a recurring cost rather than an occasional one; a company moving people through BWI a couple of times a year gains little from it.

Can bookings be tagged to a cost center?

Yes. Bookings can carry a cost center, project or matter reference so charges land in the right place without manual reallocation afterwards. Set the tagging requirement up when the account is opened rather than retrofitting it later, and itemized reporting by traveler, route or cost center is available on request.

Can an assistant book on someone else's behalf?

Yes, and it is one of the most common ways bookings arrive.
